Conference Attendance Policy

HAI conference will be held as an in-person event only allowing virtual participation in exceptional circumstances. We encourage all authors of the accepted papers and posters to attend the conference in-person. However, it is mandatory for one of the authors of the accepted paper or poster to attend the conference in-person.

We will consider exception circumstances and may allow authors to present their work in an online fashion. The extenuating circumstances include medical condition or visa delays. Please contact the registration chairs Denise Geiskkovitch (geiskkod@mcmaster.ca) and/or Katerina Cerná (katerina.cerna@ait.gu.se) for a discount code in case this applies to you.

We will request authors with medical situations to supply us with evidence and we will inform the concerned author of our decision in due course.

To avoid visa delays, we encourage concerned authors to request invitation letters as soon as possible. The invitation letter can be requested via email to the general chair of the conference.

We except that author from different countries may face delays in getting the appointments for visa applications. To avoid it, we would encourage the authors to book their appointments in a proactive manner.

Refund Policy

In case of exceptional circumstance, we will unfortunately not be able to provide a refund on the registration, or we will not be able to refund the cost difference between the online and in-person registration.

The conference will also not be responsible for any costs that arise from authors having to cancel/change flights/accommodation based on them not being able to travel due to covid.
